Organizations & Members
An organization is the top-level container for your team and its workspaces. Every member belongs to an organization under one of two built-in roles. An organization owns each workspace, also called a tenant.
To reach organization settings, open Your organizations under Settings in the sidebar. Admins see a Settings button next to each organization they administer. This button opens this page. If you open a settings link directly without admin rights, a message says “Only organization admins can open settings.” and you’re sent back to the organization list. All members can see the list and use Leave to leave an organization they belong to. If you have pending invitations to other organizations, they also appear in this list, each with a Review invitation button that takes you to the invitations review page. An invitation that has passed its expiry date is labeled Expired invitation instead of Pending invitation.
The settings page has eight tabs: General, Members, Roles, Tenants, Billing, Audit Log, Integrations, and API Keys. The Tenants tab is titled Workspaces on screen.
Creating an organization
Section titled “Creating an organization”From the Your organizations list, click New organization, enter a name, and review the organization address. The address is suggested from the name and you can edit it before you submit. It appears in workspace URLs and cannot change after creation. An Organization Created confirmation appears. Click Continue to go to the new organization’s settings.
General
Section titled “General”The General tab shows the organization name in an editable field. Only admins can change it. The backend rejects the change for members. The Save Changes button stays disabled until the name you enter differs from the current one.
The tab also shows the organization slug, the address used in workspace URLs, as a read-only field.
Members
Section titled “Members”The Members tab shows all active members and any pending invitations in a single list. Each row shows the member’s avatar, display name, email address, and role. There is currently no way to change a member’s role or remove them from this page.
Inviting someone
Section titled “Inviting someone”Only admins can send invitations.
- Click Invite Member.
- Enter the invitee’s email address and click Send Invitation.
The invitee receives an email inviting them to join the organization. The invitation is valid for 7 days. After that it expires and the invitee can no longer accept it. An expired invitation stays visible in the invitee’s list for 30 days after it expires, labeled Expired invitation. For a full walkthrough see Setting Up Your Organization and Inviting Your Team.
Inviting someone who is already a member of the organization returns an error. Sending another invitation to an email address that already has one pending also returns an error.
Pending invitations
Section titled “Pending invitations”While an invitation is outstanding, the invitee appears in the members list with an Invitation pending label and a Member role badge. Their row shows the part of their email address before the ”@” as a name, and an avatar placeholder with the first letter of their email address instead of a profile photo.
Once an invitation passes its expiry date, its row stays in the list but the label changes to “Invitation expired on” followed by the expiry date. The member count at the top of the tab does not include expired invitations.
To cancel an outstanding invitation, click Cancel in that row and confirm the action. This removes the invitation, so the invitee can no longer accept it. You can cancel an expired invitation the same way.
Accepting an invitation
Section titled “Accepting an invitation”The invitation email links to the invitation review page in Aperture. If you are not signed in, Aperture sends you to sign-in or account creation first and returns you to the review page afterwards. After the invitee signs in or creates an account with the invited email address, they land on a review page that lists every pending invitation addressed to them. They can Accept or Decline each one. The system matches invitations to their account by email address. For details on the sign-in flow, see Account & Sign-in.
Accepted members join the organization with the Member role.
Leaving an organization
Section titled “Leaving an organization”A member can leave an organization at any time from the Your organizations list. Click Leave and confirm. You lose access to the organization and its workspaces, and an admin must invite you again to rejoin. The last remaining admin cannot leave until another admin exists. The backend enforces this rule. If you try, Aperture shows a message saying you’re the only admin and to contact support to make another member an admin. The message has a Contact support button that opens an email to the general contact address shown in the page footer, pre-filled with a request to make another member an admin.
There are two built-in roles.
| Role | Capabilities |
|---|---|
| Admin | Invite members, cancel invitations, view pending invitations, delete tenants, edit tenant settings, rename the organization |
| Member | Access the organization’s workspaces; no administrative actions, including renaming the organization |
The person who creates an organization automatically receives the Admin role. Everyone who joins via an invitation receives the Member role.
The Roles tab in organization settings is reserved for custom role definitions. Custom roles are not yet available. The tab displays a placeholder.
Tenants
Section titled “Tenants”A tenant is a workspace, the isolated environment that holds one organization’s pricing data, products, and configuration. The Getting Started: Onboarding flow creates tenants, or an administrator creates them outside the settings UI. Tenants cannot be created from this tab.
The Tenants tab lists every tenant belonging to the organization, showing its name, location, timezone, currency, and creation date. A workspace that failed to set up shows a Failed label next to its name. The workspace picker hides failed workspaces, so this tab is where admins find them.
Tenant settings
Section titled “Tenant settings”From a tenant’s actions menu, admins can select Settings to set its timezone, location, and currency. Timezone sets when the daily brief’s morning falls, how alert occurrences are grouped into days, and the timestamps in alert email and Slack notifications. Alert times shown in the app use your own device’s clock. Location records the tenant’s geographic market. Currency is used when a listing has no currency of its own. All three are optional. A tenant with no timezone set uses UTC. A tenant with no location or currency set shows an em dash in the Tenants list, and the settings dialog shows Not set.
When you pick a location for a tenant that has no currency yet, the dialog suggests a matching currency. You can change the suggestion before saving.
Deleting a tenant
Section titled “Deleting a tenant”Admins can delete a tenant by opening its actions menu and selecting Delete, then confirming with Delete Workspace.
Billing
Section titled “Billing”The Billing tab is reserved for managing your organization’s subscription plan, payment methods, and invoices. This functionality is not yet available. The tab displays a placeholder.
Audit Log
Section titled “Audit Log”The Audit Log tab lists changes to the timezone, location, and currency of the organization’s workspaces. Each row shows when the change happened, who made it, which workspace it affected, the field, the previous value, the new value, and the source of the change. The source is either User or Location default. The tab shows the 100 most recent changes. Until a workspace setting changes, the tab shows “No settings changes yet”.
The log does not record other organization activity, such as login events or membership changes.
Integrations and API Keys
Section titled “Integrations and API Keys”The Integrations and API Keys tabs in organization settings let you connect third-party services and issue programmatic access credentials. Integrations & API Keys documents both tabs.
Switching organizations and workspaces
Section titled “Switching organizations and workspaces”If you belong to more than one organization, or your organization has more than one workspace, use the organization switcher in the top header to switch between them. Select an organization, then choose one of its tenants to make it your active workspace. Switching updates your active context for the entire application.
Admins also see a Settings link inside their organization’s entry in the switcher, which opens that organization’s settings.
