Setting Up Your Organization and Inviting Your Team
An organization is the top-level container that groups your team. It can own one or more workspaces. A new organization starts with no workspaces. Workspaces are created during onboarding or by an administrator. This page covers the flow from creating an organization to a new team member accepting their invitation and landing in the app. It does not cover billing, the audit log, or personal account settings. See Organizations & Members and Account & Sign-in for those.
Creating an organization
Section titled “Creating an organization”- In the sidebar’s Settings section, open Your organizations.
- Click New organization in the top-right corner.
- Enter an Organization name, for example “Acme Inc.”.
- Check the Organization address. Aperture fills it in from the name, and you can edit it. The address cannot change after the organization is created.
- Click Create organization.
- A confirmation dialog appears. Click Continue. The app takes you directly to the organization’s settings.
The app adds you to the new organization as an Admin automatically.
Navigating organization settings
Section titled “Navigating organization settings”Organization settings have eight tabs: General, Members, Roles, Workspaces, Billing, Audit Log, Integrations, and API Keys. Organization settings are admin-only. The Your organizations page shows the Settings button only to members with the Admin role. If a member without the Admin role opens a settings URL, Aperture shows “Only organization admins can open settings.” and sends them back to Your organizations.
On the General tab, Admins can change the Organization Name and click Save Changes. The Organization slug field is read-only because the address is used in workspace URLs and cannot change.
Inviting a team member
Section titled “Inviting a team member”- Open Organization Settings → Members.
- Click Invite Member in the top-right of the Members card.
- In the dialog, enter the invitee’s Email Address and click Send Invitation.
- The invitee receives an email with the subject “You’ve been invited to join <org name> on import.io:aperture”. The email contains a Review invitation button that links back to Aperture.
The new entry appears in the members table immediately, with an Invitation pending label and a Member role badge. The member count in the card header includes active members and pending invitations that have not expired. Only Admins can send invitations. Other members cannot open organization settings.
Cancelling a pending invitation
Section titled “Cancelling a pending invitation”In the Members table, click Cancel next to a pending invitation. A confirmation dialog appears. Click Cancel Invitation to delete the invitation immediately. The invitation disappears from the invitee’s Review invitations page, and the invitee can no longer accept it. Only Admins can cancel invitations.
An invitation that has expired stays in the Members table with the label “Invitation expired on” followed by the date. It no longer counts toward the member count. You can cancel it the same way.
The Roles tab is reserved for custom roles. It currently shows a “No custom roles” placeholder for every organization.
New members receive the Member role when invited. Admins have full access to organization settings. The Members table has no actions for existing members, so you can’t change a member’s role or remove them from there.
Managing workspaces
Section titled “Managing workspaces”The Workspaces tab lists all workspaces that belong to the organization, with each workspace’s name, location, timezone, currency, and creation date. Workspaces are created during onboarding or by an administrator. You cannot create a workspace from this tab. A workspace whose setup failed shows a Failed badge next to its name. The workspace picker hides failed workspaces, so this tab is where you find them.
Click the ⋯ actions menu next to a workspace to open Settings or Delete. The Settings dialog has three fields, Timezone, Location / market, and Currency. Timezone is used for alert times and the daily brief. Location is the geographic market and can be left unset. Currency is used when a listing has no currency, and it can be left as “Not set”. Delete removes the workspace after you confirm in a dialog.
Accepting an invitation (the invitee’s flow)
Section titled “Accepting an invitation (the invitee’s flow)”- The invitee opens the invitation email and clicks Review invitation.
- If the invitee is not signed in, Aperture first prompts them to sign in or create an account. They can use any of Aperture’s available sign-in methods. They must use the email address the invitation was sent to.
- After sign-in, they land on a Review invitations page. It lists every invitation addressed to their email address, including any that have recently expired. Each open invitation shows the organization’s name, who invited them, and the expiration date.
- For each open invitation, they can click Accept to join that organization, or Decline to turn it down. Decline asks for confirmation.
- Accepting adds them to the organization as a Member. When no open invitations remain, the app takes them to the workspace picker to select a workspace.
If a signed-in member has an invitation they can still act on and no workspace to open yet, opening the app routes them to the invitations review page automatically. A member who already has a workspace goes to the workspace picker, which shows a notice about the pending invitation with a Review button. The review page then offers a Decide later link back to the picker. Existing members can also return to a pending invitation later. The Your organizations page shows a Review invitation button next to it.
Leaving an organization
Section titled “Leaving an organization”Any member can leave an organization from the Your organizations page. Click Leave next to the organization and confirm the prompt. You lose access to the organization and its workspaces. To rejoin, an Admin must invite you again.
